Customer Service and Office Administrator

The Humane Society of Summit County is hiring a Customer Service and Office Administrator. This full-time, non-exempt position is responsible for overseeing front desk operations; welcomes building visitors by greeting them; responds to customer inquiries by phone, email, or in-person; directs visitors and issues visitor badges, processes mail, parcel shipments, donations, and animal data; and provides general administrative support. This position works alongside customer service staff to deliver the best, most professional customer service possible to visitors, guests, and the public in alignment with our mission and standards.

Essential Functions

  • Schedules, trains, and leads customer service staff to ensure appropriate coverage and efficient operation of the front desk area.
  • Fields customer inquiries and ensures prompt and professional response, providing a high level of personalized customer service.
  • Enters incoming animal data and processes adoptions while maintaining data integrity and confidentiality at all times.
  • Accurate donation processing and cataloging
  • Processes mail, parcel shipments and distributes to appropriate department or individual.
  • Inventories and orders office supplies
  • Accurately processes relevant bank deposit paperwork at the end of each shift
  • Processes and files paperwork and letters competently
  • Assists donors with material gift donations and transports to stockroom.
  • Provides administrative assistance and performs other related duties of a comparable nature as assigned.

Education Requirement

  • High School Diploma or Equivalent

Minimum Experience

  • One (1) plus years of experience supervising others
  • At least two (2) years of customer service experience
  • One to two (2) years Microsoft Office applications experience (emphasis on Excel)

  • Ability to function comfortably and efficiently in a fast-paced, multi-tasking environment
  • Ability to communicate effectively with the public and a variety of audiences using a non-judgmental approach
  • Exhibits a professional and courteous telephone demeanor
  • Working knowledge of multi-line phone systems
  • Must be an independent problem solver that is at ease troubleshooting problems that may interfere with daily tasks
  • Experience with closing shifts, cash handling and bank deposit preparation
  • Ability to read, write and understand instructions
  • Ability to remain focused when working in close proximity to other staff members
  • Ability to work around all kinds of animals

Working Hours

Our customer service hours are:

Monday: 9:00am-5:00pm
Tuesday-Friday: 9:00am-7:00pm
Saturday: 10:00am-6:00pm
Sunday: 12:00-5:00pm

This position is full-time with scheduled hours ranging from thirty (30) to forty (40) hours per week (75-100% FTE). Some nights, weekends and holidays are required on a rotational bases. Successful candidates will have open or flexible availability.
